The Quote Process


1. Initial Contact

  • They’ll ask for basic details: move date, size of home, starting/ending addresses, special items (piano, safe, large furniture).
  • Some companies offer rough phone/online estimates, but the most reliable movers will want an in-home or virtual walkthrough, especially for long distance moves.


2. Walkthrough (In-person or Video)

  • They’ll look at furniture, boxes, closets, garage, attic, and basement.
  • They’ll ask about stairs, elevators, parking access, and distance to the truck.
  • Be honest about what’s coming with you—underestimating can lead to surprise costs later.


3. Estimate Types

  • Binding Estimate → Final price is fixed (good for budgeting).
  • Non-Binding Estimate → Price can change depending on actual weight/time (risk of being higher).
  • Binding Not-to-Exceed → If weight is less, you pay less; if more, you don’t pay above the estimate (usually the best deal).



4. Details You Should Get in Writing

  • Hourly rate (local moves) or weight/mileage (long distance).
  • Number of movers included.
  • Time estimate or weight estimate.
  • Travel/fuel fees.
  • What’s included (pads, shrink wrap, dollies, disassembly/reassembly). (All included with Carolina Pack n Go)
  • Packing/unpacking options and costs.
  • Liability coverage/insurance.
  • Deposit and payment terms.( 20-40-40on Long distance and $100 for local moves)

Red Flags to Watch Out For


  • Only offering quotes by phone/email without seeing your stuff.
  • Asking for a large cash deposit up front. You should never be asked for more than 1/3 up front from any reputable mover.
  • Refusing to provide a written estimate.
  • Extremely low quotes (often followed by surprise fees later). This often happens with movers from out of state. Think to yourself.. Why would someone from Florida want to come to the Carolinas to move you to Ohio for cheaper than local movers can do it?
  • Not having a USDOT number (for interstate moves). or an exemption number from North Carolina Utilities Commission

Good Signs


  • Transparent about fees.
  • Licensed and insured (and willing to show proof).
  • Willing to explain estimate types clearly.
  • Professional communication, written documents, and itemized estimates.
